Construction and EPC are the two industries that flourishing on Indonesia’s market. The competition is fierce and sometimes leading to cost-cutting battle. This client sees Knowledge Management as a way to lead the competition, not only by cost-cutting but also with learning from their past experiences. Lesson learning is taken from various projects that are being and have been carried out so that they become references in decision making and problem-solving that are often repeated in various projects.

Knoco Indonesia helped this company to embed the lesson learning approach into their project management cycle. To ensure the embedding process is fit into their current project management practices, we help the company on identifying strategic knowledge, developing taxonomy, and developing practical guidelines for Lesson Learning process.

Our Approach

This company are one of the best in their industries and had in-place project management approach that has been worked well in the past. But based on our encounter with them during previous KM project, the lesson learning process is not included and they only focus on managing the project rather than learning from it. 

The budget constraint also arises even though the Top Management is highly committed to the Knowledge Management implementation. So our approach to helping them is assisting the internal KM team on embedding Lesson Learning process, instead of doing full consulting services. We assist the internal KM team by providing how-to, best practice, and conducting workshop needed so they can develop the Lesson Learning process by themselves.

To ensure the proposed Lesson Learning process is well received by the project team, we start by identifying strategic knowledge and knowledge taxonomy. Strategic knowledge is used to ensure the lesson captured within the project are delivering the knowledge needed by the operational project team. As for knowledge taxonomy used to establish a standardized categorization for better search, access, and re-use of knowledge.

The next step is customizing process & documentation format and developing practical guidelines for Lesson Learning. We facilitate workgroup discussion with project team representatives to ensure the Lesson Learning process is fit to their need. After the project team agreed with the process, the internal KM team launched the pilot project for selected on-going projects. We oversee the pilot project by providing workshop and suggestions during the activities.

The Result

The client now successfully embedded Lesson Learning process on their project management cycle. It is now becoming a mandatory requirement for all project management within the company. Currently, they are on the progress of developing IT System to speed up re-use of the captured lesson across the projects.
